The one non-negotiable is a superb hotspot for all digital professionals. Simplified productivity, however, comes in second. The difficulty is increasingly being met by artificial intelligence solutions, which may be effectively incorporated into your workplace. Among them is Google Workspace.
On December 6, 2023, Google introduced Gemini, an AI-powered chatbot, to the online world. Although the tool’s name doesn’t match the date of launch (it was initially called Bard), Gemini was chosen to reflect the dual-natured personality of the astrological sign, which is the capacity to quickly adjust and relate to a variety of people while simultaneously viewing situations from different angles. The new moniker for Gemini was chosen “because we wanted to bring teams working on language modeling closer together,” according to Jeff Dean, co-technical lead for Gemini.
Since I have a business domain with Google Workspace, I was allowed to use Gemini for free for 14 days. After my free trial, I received 30% off the monthly fee for three months ($16.80). After then, my bill increased to $24 each month.
I was able to use its “Help me write” prompt to generate text suggestions based on what I typed into the text screen during those brief two weeks. This may include blog post drafts, assistance with song lyrics, and revising original language to make it more succinct or tone-appropriate.
What is AI summarization?
Reading a lengthy paper is the last thing you have time for when you have a large to-do list. AI summaries may be useful in this situation: Artificial intelligence (AI) systems can swiftly scan any kind of paper, webpage, or spreadsheet and provide succinct notes on the key ideas. Consider it a “too long, didn’t read” synopsis of any paper that you need to understand the main points of.
Although we’re concentrating on summarizing Google Docs at the moment, Gemini may also be used to summarize emails from Gmail and other files from Google Drive.
How to use the AI Gemini logo next to a phone to summarize a Google Doc.
Google First Step: Choose the text you want Gemini to summarize by opening a Google Docs document and selecting it with a highlighter.
Step 2: Select “Help me.” Type to the right of the chosen text, then pick from the drop-down box what you want to do. In addition to Summarize, you may also choose Tone, Bulletize, Elaborate, Shorten, Rephrase, or Custom (create your own prompt).
Step 3: Click Summarize to examine what Gemini returns. Verify that Gemini comprehended your content and what was crucial (and make sure the AI tool didn’t have hallucinations).
Step 4: Giving input on the produced content is an intriguing addition to Google Docs. You may either make a fresh version of the already written text and click retry, or you can alter the prompt to update and regenerate content after generating your summary and determining whether Gemini’s advice was good or not.
You may also go to Help > Help Docs improve to provide general input on this feature. You may also report a legal issue if needed.
You have to leave Workspace Labs in order to disable the AI-powered “Help me write” prompt. If you quit, “you will permanently lose access to all Workspace Labs features, and you won’t be able to rejoin Workspace Labs.” More information on how to leave Workplace Labs may be found here.
Gemini AI: Who Should Use It?
Samsung Galaxy S25 Pixel phones are home to Gemini AI.
Gemini describes its AI writing tool as “a useful and interesting resource” for those who like identifying connections and patterns. I concur. I wanted to speed up and simplify the writing process, therefore I chose to utilize Google Workspace Gemini. But because of how well Gemini connected with all the other Google products I often use, I also made the decision to buy a monthly subscription.
This AI addition to my digital toolset really does assist me in finding the most effective method to write emails and papers.
Just be careful to follow the standard AI caution of verifying that the tool returned valid results before taking any action, in case it had hallucinations or came to the incorrect conclusions.

Additional AI techniques for text summarization
If you need to summarize material and you’re not a fan of Gmail or Google Docs, you have a lot of alternative options. Additional AI chatbots such as Microsoft Copilot, Claude from Anthropic, Perplexity, and DeepSeek are available for usage. Simply ask the chatbot to describe anything for you, then attach a PDF file or copy and paste your paper.
